Data-Driven Decisions: 3 Ways to Use Your Data to Fuel Your Mission
Published on February 19, 2024 by Maryanne Chiriboga

“Data-driven” sounds like a cold, corporate term. But for a nonprofit, it’s about being “mission-driven” more effectively. It means using the information you already have to make smarter decisions, deepen your impact, and tell a more powerful story. Once you have your data organized in a good system (like a CRM), here are three simple ways to use it.
1. Smarter Fundraising Appeals
Instead of sending the same generic email to everyone, use your data to personalize your message. You could send a special appeal to donors who haven’t given in over a year, a thank-you note to your most consistent givers, or an invitation to volunteer to those who have only given money before. This personal touch dramatically increases engagement.
2. Powerful Impact Reporting
When you apply for a grant, which sounds more powerful? “We had a lot of volunteers last year,” or “Last year, 150 volunteers contributed a total of 2,400 hours to our cause”? Tracking data—like volunteer hours, meals served, or clients helped—allows you to replace vague statements with concrete numbers that prove your impact to funders and supporters.
3. Improved Program Effectiveness
Data can help you answer critical questions about your work. Which of your after-school programs has the highest attendance? Which community outreach events lead to the most new volunteers? By tracking this information, you can identify what’s working best and focus your limited time and resources on the activities that make the biggest difference.
Data isn’t about numbers; it’s about stories. Good data helps you understand your own story better and tell it to the world more effectively.
